Steal These Business Thank You Messages!

We have a lot to be thankful for in our businesses, but I am always the most grateful for my clients. Gratitude, true gratitude in the form of business thank you messages can go a long way to strengthen your client relationships and promote customer loyalty.

I am a HUGE fan of the thank you note, especially business thank you messages. It was ingrained in me as a small child that you always send one…right away…and handwritten.

Even though the methods may have changed (slightly), the basics of good thank-you-note-writing are the same:

Thank You Note Best Practices:

  • Be conversational, but professional.
  • Keep it short—no more than 2 paragraphs, max!
  • Don’t try to sell anything. This is a thank you, nothing more.
  • Check spelling and grammar…and then check it again.
  • Personalize your thank yous.
  • When possible, handwrite your note.
  • Give specific details and note something personal, if applicable.
  • Send notes within 24 hours if possible, but definitely within one week.

Thank You Note Format

For whatever reason, the thank you note has been relocated to an ancient form of etiquette. Much of that stems from the confusion of what is required in one. With the invention of the text message, our correspondences have become shorter and shorter, and our “thank yous” have been replaced by two-letter responses (ty).

But the formula for a great thank you note is very simple:

  1. Opening
  2. Thank you with specific details
  3. Mention another meeting
  4. Closing


My Dearest Elizabeth,

I want to thank you for the opportunity to meet with you and explain my behavior.

I hope the next time we meet will be pleasant for us both.

A Final Note on Thank Yous

Feel free to use these as templates in your own business thank you messages, or copy them completely. Just make sure you change the pertinent information and remember to remain authentic to yourself, your business, and your brand.

Thank your customers for their past (and hopefully continued) support. Be genuine and be sincere and you will build lasting relationships.
